Gippsland Holidays – Terms & Conditions of Booking and Occupancy

By confirming a booking with Gippsland Holidays, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
These terms apply to all properties listed and operated by Gippsland Holidays and are governed by the laws of the State of Victoria and Australian Consumer Law.

Prices, availability, and policies are subject to change without notice. All images are for illustrative purposes only. Any property with specific or additional terms will have those conditions listed on its individual property webpage.

1. Booking & Payment

  • A 20% deposit or valid credit card authorisation is required to confirm your reservation.
  • The remaining balance is due 7 days prior to arrival. If payment is not received by this date, Gippsland Holidays reserves the right to cancel the booking without refund of deposit.
  • Credit card authorisation may be used to secure your booking. In the event of non-payment, the outstanding balance will be charged to the card on file.
  • All bookings must be made by a person aged 18 years or older who accepts full responsibility for the reservation.

2. Payment Methods & Surcharges

  • We accept payment via Credit Card (Visa, Mastercard), PayPal, and Direct Deposit.
  • A credit card must be provided at the time of booking, even if another payment method is used.
  • Credit card surcharges may apply.
  • For PayPal refunds, a 2.6% fee will be deducted from the total booking value to cover transaction costs.

Gippsland Holidays reserves the right to charge the guest's credit card for any unpaid balances, damages, cleaning fees, or policy violations. Guests will be notified of any charges outside the agreed rate.

3. Booking Approval via Website

Some bookings made online may require management approval. Selecting “Approval by Management” at checkout does not automatically confirm your booking. Our team will contact you to confirm or offer alternative availability.

4. Cancellation Policy

  • Cancellations made more than 7 days prior to check-in will receive a full refund.
  • Cancellations within 7 days and up to 24 hours of check-in will forfeit the deposit.
  • No refunds are issued for cancellations made within 24 hours of check-in, no-shows, or early departures.

We recommend guests take out travel insurance to cover unexpected events or changes in travel plans.

5. House Rules

  • Only registered guests are permitted on the premises unless prior approval is granted.
  • Noise must be kept to a minimum between 10:00pm and 8:00am.
  • Guests must comply with all local council laws and property by-laws.
  • Smoking, including vaping and e-cigarettes, is strictly prohibited inside any of our properties. Breach of this rule will incur a $200 fine and additional cleaning charges.

6. Extra Services & Early/Late Check-outs

Guests may request early check-in or late check-out by completing an Extra Services Form. Requests must be made at least 24 hours in advance, are subject to availability, and may incur a fee. To arrange this, guests must contact Gippsland Holidays directly to request a copy of the form and confirm availability.

7. Occupancy & Guest Responsibilities

  • Occupancy begins and ends on the dates shown on your booking confirmation.
  • Guests must park only in designated parking areas.
  • The number of guests staying overnight must not exceed the number stated on the booking.
  • Guests are liable for any damage, breakage, or loss caused during their stay.
  • Extra charges may apply if:
    • Additional bedrooms are used without prior notice
    • Excessive cleaning is required
    • Furniture has been moved or property is left in an untidy condition

8. Lost Property

  • All items left behind will be kept at our office for 7 days.
  • After this time, unclaimed items will be donated to charity.
  • Postage fees apply if you would like items returned.
  • Perishable items will be discarded immediately.

             Gippsland Holidays accepts no responsibility for lost or forgotten items.

9. Security Deposit & Inspections

  • A refundable security deposit may be held for certain bookings.
  • Full refunds will be processed post-inspection, providing no damage or policy breaches are found.
  • Management reserves the right to inspect the property at any time with reasonable notice, or without notice if a breach is suspected.
  • Guests agree to allow charges to be made to their card for any damage, loss, or excessive cleaning.

10. Liability & Disclaimer

Gippsland Holidays and its property owners are not liable for any injury, loss, or damage incurred during your stay, including but not limited to theft, accidents, or weather-related events. Guests are responsible for the safety and security of all occupants and belongings.

We make every effort to ensure accuracy in our listings but accept no responsibility for misdescriptions or changes in apartment features.

11. Check-out & Keys

  • Check-out time is strictly 10:00am.
  • Late check-out must be approved by management at least 24 hours in advance.
  • Lost keys or fobs incur a $150 replacement fee.

12. Property Allocation & Views

We make every effort to accommodate guest requests for specific apartments. However, due to operational reasons, we reserve the right to reallocate apartment assignments when required.

Please note: 1st Floor Spa Deluxe Apartments have RESORT views. Water views are not guaranteed.

13. Pet Policy

Pets are not permitted at Captains Cove Resort – Waterfront Apartments, including:

  • Captains Cove 1st Floor Spa Deluxe
  • Captains Cove Ground Floor Apartment
  • All Accessible Apartment
  • The View – Captains Cove Waterfront

We do offer Pet-Friendly Accommodation at Captains Edge in Paynesville.

Registered service dogs and guide dogs are welcomed at all properties; however, supporting documentation must be provided prior to arrival.

14. One-Night Stays

One-night stays are subject to availability and do incur a short-stay surcharge. These bookings may have additional terms depending on the season or event periods.
